Project Overview
What is Delta 2006?
Delta 2006 is an institution-wide project to improve DePaul's capacity to be more informed, integrated and agile. In a nutshell, it is an effort to turn all the information in our databases into knowledge that we can act on. The goals of the project are:
  • To improve and transform our student services
  • To create more efficient and effective administrative processes
  • To enable students, faculty and staff to have expanded access to information
  • To increase DePaul's capacity to be a continuously learning organization
 
What is PeopleSoft?
PeopleSoft is integrated database software tailored to higher education and used by more than 100 other universities. In Phase I of Delta 2006, we are replacing AIMS (the student database), HRS (the human resources database) and FRS (the financial database) with PeopleSoft. An Enterprise Resource Planning (ERP) tool, PeopleSoft integrates information between complex systems so that we can strategically understand how change in one area affects other areas.
 
Why are we doing this now?
DePaul is continuing its rapid growth to 24,000+ students. At the President's Retreat in 1997, Joint Council determined that limitations of our existing (legacy) database systems created barriers to serving increasing numbers of students, improving academic advising, supporting the suburban campuses and improving student retention.
 
What's the timeline?
We bought the software and formed implementation teams in 1999, and the first module (undergraduate applications) went live in October, 1999. We are midway through Phase I, in which we are replacing existing systems (although you'll see some changes). We are implementing the software as rapidly as possible, with minimal customization. This correlates with long-term success, including ease of installing upgrades and fixes and shortening the time we are straddling multiple systems. However, it also means that some custom features, like student photos, aren't available in the short term. Phase I is scheduled to be completed by January 2001. In Phase II, we will begin bringing new services online (degree audit, prerequisite checking) and redesigning work processes to take advantage of the features of the new system.
 
How's it going?
To date, most deadlines have been met, and we remain cautiously optimistic that we will meet the remaining deadlines. The HR conversion is complete, and several student administration modules that caused problems at other universities are up and running. This is in part due to the hard work of the implementation teams and in part because we studied the successes and failures of PeopleSoft implementation at other universities. Although we have had problems (SNL registration issues, glitches in payroll's year-to-date balances), they are minor compared to the enormity of this undertaking and the significant problems that have affected others. We are maintaining the legacy systems, so we can revert within 24 hours if major problems arise. DePaul is becoming a national example of successful system-wide information system replacement.
 
How does it affect me?
Because the first phase of the program is system replacement, the immediate changes you see are small. You now access Web applications like class rosters through a single portal called Campus Connection (http://campusconnect.depaul.edu). Grades online will be available there by November. Student academic histories are scheduled to be converted to PeopleSoft in November. If you have AIMS access, you can continue to view histories through AIMS as you have in the past. PeopleSoft and DePaul use slightly different terminology; staff are being trained on these terms. To access the new systems, you use a new user ID and password; if you don't know these identifiers, you can look them up by clicking the link at the bottom of the Campus Connection home page and entering your old ID (Social Security Number) and password. If you have difficulty with IDs and passwords, contact ID Card Services.
 
What do I get out of it?
Again, because Phase I is system replacement, the immediate benefits are small:
  • real-time class roster information
  • creating long-range schedules so you can plan ahead
  • more detailed pay stubs
  • the ability to record multiple mailing addresses and telephone numbers in your personal demographic profile.
In the next few months, you should be able to run your own reports or queries on student data without waiting for assistance from Information Services, or run an unofficial transcript for a student. Transcripts will also display double majors. February 2001 is the target to begin rolling out degree audit, allowing people to determine what courses remain for graduation and the impact of changing majors, and prerequisite checking.
 
What will my students get out of it?
With a single login, students will be able to access all online services. For the first time, they can now view their financial account information online and list preferred addresses for various mailings. In time, students will be able to manage most aspects of their DePaul experience through Campus Connection.
 
What will my department get out of it?
The system will help colleges, schools and departments plan and manage better, e.g.,
  • building schedules that better meet faculty and student needs
  • creation of long-range schedules so you can plan ahead
  • better scheduling of classroom space
 
Where do I get help?
Each college and school has PeopleSoft experts trained to teach others how to use the system. Find your expert at http://delta2006/html/dtSupportPhone.html. The HelpDesk (ext. 8765) is trained on PeopleSoft and ready to provide technical support.
 
Where do I find out more?
The Delta 2006 Web site (http://delta2006.depaul.edu/) provides current and archived news stories, frequently asked questions, technical support, glossary and PeopleSoft terms, a project overview, timelines, committee membership and reports. How do I download my class rosters using Netscape?
Netscape Communicator is the recommended program for downloading class rosters.

Please follow each step in order:
  1. Copy the file titled "RosterMaker Net S" to a location on your hard drive that you will remember (e.g. C:/Windows/temp). You will need to open this file later.
  2. Open Netscape Communicator.
  3. Go to Campus Connection (http://campusconnect.depaul.edu).
  4. Login.
  5. Select "For Instructors".
  6. Select "Class Roster".
  7. Scroll down to bottom and select "Search". IMPORTANT: Do not fill in any blanks.
  8. Scroll down to see the results. The current term is located at the bottom.
    Autumn Quarter = 0600, Winter Quarter = 0610
  9. Select the class for which you would like to print the roster.
  10. The class roster will display.
  11. Open Excel.
  12. Open the "RosterMaker Net S" file. Click "Enable Macros."
  13. Toggle back to Campus Connection (or maximize).
  14. Highlight all of the student information
    Highlight by holding the Shift button on your keyboard and clicking your left mouse button just before the first character of the first student's name. Then, while still holding down the shift key, scroll to the last student's name and click again at the end of the last line (to the right of the email address if there is one).
  15. Copy the highlighted information.
    Copy by selecting Edit > Copy or Ctrl+C
  16. Toggle back to Excel.
  17. Paste the copied data. Ignore the "Process roster (paste in from Netscape)" for the moment and the fact that things will look very unorganized.
    Paste by selecting Edit > Paste or Ctrl+V
  18. Click on "Process roster (paste in from Netscape)."
  19. The program will automatically format the data into columns for Name, Empl ID and email.
  20. Select File > Save As and save the new document as some other name than "RosterMaker Net S." If asked to save changes to "RosterMaker Net S," click no if you are not planning to keep data or cancel to go back and Save As.
  21. Edit font, column width, and cell size to your desired specifications.
  22. Resave your new document.

How do I download my class rosters using Internet Explorer?
You may use Internet Explorer; however, Netscape Communicator is the recommended program for downloading class rosters.

Do I need PeopleSoft on my desktop?

The rule of thumb is that if you had AIMS access in the past, then you will probably want PeopleSoft on your desktop. If you access class rosters and grades online via the Web, then you can continue to do so through via Campus Connection.

Web Grading Using PeopleSoft's Campus Connection
  1. Go to Campus Connect @:http://campusconnect.depaul.edu/.

  2. Input your ID and password. To login, use the User ID and password distributed last summer (or your current password, if you changed it). Users can look up this information by visiting the Campus Connection home page (http://campusconnect.depaul.edu), clicking on "Campus Connection User ID and Password Lookup," and entering their Social Security Number and old password.
    Faculty members may also look up their User ID and change their password by visiting an ID Card Services Office. ID Card Services cannot provide this information by phone or email.

  3. Click on "FOR INSTRUCTORS."

  4. Click on "PROCESS GRADE ROSTER." (This will display the "Grade Roster-Search" Page.)

  5. Select TERM (0610 2000-2001 WINTER) & click on the SEARCH button.

  6. Click on the class you wish to grade (your Grade Roster will display).

  7. When entering your grades you have two options:
    1. Type in the grade for your student (tab twice to get to the next student)
          or
    2. Click on the arrow next to the Grade Input field. A list of valid grades will appear. Click on the appropriate grade and the grade will be inserted into the Grade Input field.

  8. After entering your grades, save the panel by clicking the "SAVE" button at the bottom of the screen. You must "SAVE" the panel before you do anything else. You may also "SAVE" the panel before you enter all the grades, then continue grading. Note: You must "SAVE" the panel before you make any changes to the Approval Status field.

    Verify all of your grades, then change the Approval Status to "APPROVED," and click SAVE. You must enter all grades in order to approve your roster. You will receive an error message if you attempted to change the Approval Status to "APPROVED" before all grades are entered.

    NOTE: If you change the Approval Status to "APPROVED" without saving the panel, you will receive an error message. If so, click OK at the bottom of the screen, change the Approval Status back to "NOT REVIEWED" and "SAVE" the panel. You can then change the Approval Status to "APPROVED" and hit "SAVE" once again to submit your grades.

    NOTE: If the approval status is not set to APPROVED, then the grades cannot be posted to the student's record.

    Once the Approval Status is set to "APPROVED" and the panel has been saved, you will receive a successful grade entry message.

  9. If you need to make corrections after you have approved your grade roster:
    1. Change the Approval Status back to NOT REVIEWED and SAVE the panel. This will give you access to the GRADE INPUT field again.
    2. Make any changes necessary, change the Approval Status back to APPROVED, and SAVE the panel again.
    NOTE: You will only be able to make changes to your roster on the same day that you entered and approved your grades.

  10. To print a copy of the roster with grades, click anywhere in the roster, then click your Print icon. (If you prefer, you can go to File, select Print, and click on OK.) You may also obtain a copy of the grades from your department.

  11. If you are finished and need to access additional grade rosters, click the search button on the bottom of the screen.

    NOTE: The Grade Status will appear as PENDING until grades are posted at the end of the business day. Grade rosters are posted daily. Once a grade roster has been posted, any grade changes must be made with the Registrar's Office.
